Outdoor Events
Celebrate under the open sky with river views at the Holyoke Canoe Club. Outdoor event rentals are available to members seasonally and are perfect for birthdays, reunions, and other gatherings. All events must be booked in advance and be approved by the Board. All events are expected to follow club rules and should not interfere with the normal use of the club by other members.
Tent Rentals (optional):
Tent: $550 (20’x40′ fits 80 people)
Optional Sidewalls: $165
Tent payment due 1 week before event
Fees:
$250 for 20–40 guests
$500 for 40–80 guests
$5 per non-member guest (in addition to rental fee)
Payment is due 3 days prior to the event along with a guest list.
Please note events are scheduled for a four hour window and may not impede the normal use of the club including no loud music, food trucks or activities that would interfere with members.
Indoor Events
Host your celebration in our historic riverfront ballroom, available primarily during the off-season. Rentals include access to the ballroom, restrooms, and parking, with a guest capacity of up to 80 people, including staff.
Fees:
$500 refundable security deposit
$750 for 40–80 guests
$500 for up to 40 guests


FAQ – Outdoor Events
Who can rent outdoor space at the club?
Only members in good standing may host outdoor events with prior Board approval.
What qualifies as an "event"?
Any gathering on club grounds with more than 10 guests is considered an event and requires advance approval.
How do I reserve a date for an event?
Members must notify the Board in advance to request a date and reserve space.
Do I need to be present at the event?
Yes. The member must be on club grounds throughout the event and is responsible for guest behavior.
When are payments and guest lists due?
All fees and a guest list must be submitted to the Steward at least 3 days before the event.
What are the fees for outdoor events?
- $250 for 20–40 guests
- $500 for 40–80 guests
- $5 per non-member guest (in addition to the rental fee)
- All payments are required in advance.
Is there an indoor backup in case of bad weather?
No. Outdoor events do not have guaranteed indoor space. A tent is strongly recommended if weather is a concern.
Can I rent a tent?
Yes. The club offers a 20×40 tent rental (fits up to 80 people) for $550. Optional sidewalls are available for $165.
When is tent payment due?
Tent rentals must be paid in full at least one week prior to the event or will be canceled.
Can I bring my own tent?
Tents larger than 10’x10’ must be professionally installed and will be arranged by the Board.
Can I reserve a rain date?
A backup date will not be held if another member has requested the same day.

Who can rent the ballroom?

When is the ballroom available?

What’s included with a ballroom rental?
Access to the ballroom, restrooms, and parking lot. Outdoor club grounds are not included.

Up to 80 guests, including any event staff.

Are there any additional requirements?
Yes. You’ll need:
- A one-day insurance policy covering setup, event, and cleanup
- 1 adult per 10 children if minors are attending
- A signed rental contract
- All caterers must be licensed, insured, and approved by the Board
- Guest list and payments due 3 days before the event
Can the Board charge extra fees?
Yes. The Board may assess additional fees for events that require extra labor or cause excessive wear and tear.
